Office Chair Assembly Guide: Do It Right in 20 Minutes
Office Chair Assembly Guide: Do It Right in 20 Minutes
Most ergonomic chairs ship as flat-pack components. Done correctly, assembly takes 15 to 25 minutes and the chair performs flawlessly for years. Done in a rush, you get wobble, creaks, and panic about "defective" parts that are not defective at all. This guide covers the correct sequence, the most common assembly mistakes, and how to tell when a part genuinely needs replacing.
Quick Answer: To assemble an office chair correctly: clear a 1.5m space, lay all parts out, start all bolts before tightening any, follow the castors-base-gas lift-mechanism-seat-backrest-armrests sequence, and tighten fully in a cross pattern at the end. Most wobble and recline issues are assembly errors, not defects.
Free Assembly Available
If you purchase your Green Soul chair directly through the website, assembly is included at no extra cost for select pin codes. For all other purchases, the DIY process below takes 15 to 25 minutes and requires only the Allen key included in the box.
Before You Start: Three Rules That Prevent 90% of Problems
Rule 1: Clear 1.5m of Space
You need roughly 1.5 metres of open floor to lay the chair flat during assembly. Assembling in a cluttered space leads to awkward angles and missed bolts.
Rule 2: Manual in Eyeline
Keep the printed manual or your phone showing the digital version within eyeline throughout. Sequence matters and varies by model.
Rule 3: Start All Bolts First
This is the single most important rule. Starting all bolts first lets components self-align. Tightening one bolt fully before starting the others locks misalignment in permanently.
Standard Assembly Sequence
This sequence works for most Indian brands including Green Soul. Always cross-check with your model's manual for any model-specific steps.
Attach Castors to the Base
Push each castor firmly into the base star arms until you feel and hear a click. A castor that seems loose but clicks is correctly seated. No tools required.
Insert the Gas Lift into the Base
Slide the narrow end of the gas lift cylinder into the central hole of the base. It sits on friction only. Weight will seat it fully when you sit down for the first time.
Attach the Mechanism (Seat Plate) to the Seat
Place the seat face down. Align the mechanism holes with the seat's mounting holes. Start all bolts two full turns before tightening any of them.
Join the Backrest to the Seat
Locate the two bracket bolts connecting backrest to seat. Start both bolts two full turns before tightening either. This is where most misalignment happens.
Lower the Seat Assembly onto the Gas Lift
Hold the seat assembly over the gas lift top and lower it. The connection is a taper fit. Sitting on the chair will fully seat it.
Fit Armrests
Slot into the side brackets and secure with the supplied bolts. Some models clip without tools. Check your manual.
Fit Headrest (if included)
Clip onto the top of the backrest frame as shown in the manual. Most headrests are tool-free clip-on attachments.
Final Tightening
Go around every bolt using a cross or star pattern. Each bolt should reach firm resistance, not strip-tight. Do not overtighten.
Common Issues That Are NOT Defects
Chair wobbles when I sit
Almost always a single under-tightened bolt on the mechanism-to-seat connection or the backrest bracket. Remove yourself from the chair, place it on its side, and check every bolt systematically. A 30-second bolt check resolves 95% of wobble complaints.
Recline feels too loose or too stiff
Under the seat, near the centre, there is a tension-adjustment knob (often a large wheel or lever). Turn clockwise to increase resistance, anticlockwise to reduce it. This is a feature, not a fault.
Castor will not stay in
This is a friction-fit mechanism. It requires firm, direct push pressure, not at an angle. Press the castor straight in with your palm until the click. If you hear no click, re-examine the angle and try again.
Gas lift slowly sinks when I sit
A small amount of settling in the first few days is normal. If the chair sinks significantly within minutes of sitting, that is a faulty gas lift and warrants a warranty claim. See our warranty claim guide.
When to Stop and Contact Support
Stop immediately if: a hole is mis-threaded (bolt goes in smoothly then strips immediately), a plastic bracket is cracked on unboxing, or a metal weld is visibly incomplete. Do not force anything. Photograph the issue clearly and email support@greensoul.online with your order ID. Forcing a misaligned or cracked part is the primary cause of avoidable damage that voids warranty.
When a Part Is Genuinely Faulty
- Stop immediately. Forcing a defective part causes secondary damage that may not be covered under warranty.
- Document before anything else. Photograph the defect from two angles before touching or adjusting anything further.
- Contact support with: Order ID, photos or video of the defect, description of what happened and when.
- Free replacement. For genuine manufacturing defects within the warranty window, Green Soul replaces the part free with no labour charge.
Frequently Asked Questions
Q1. How long does office chair assembly take?
For a first-time assembler following the manual: 20 to 30 minutes. For someone familiar with the process: 10 to 15 minutes. Rushing does not save meaningful time but does increase the chance of assembly errors.
Q2. Do I need special tools for assembly?
No. All required tools (typically one or two Allen keys) are included in the box. Some models include a combination wrench as well. Check the tools section of your manual before starting.
Q3. I assembled the chair but the backrest is misaligned. What do I do?
Loosen the backrest bracket bolts completely, allow the backrest to self-align by holding it straight, then restart the two-bolt sequence: start both bolts two turns before tightening either. Misalignment at this joint is always caused by tightening one bolt before starting the other.
Q4. The recline does not lock. Is this a defect?
Check the recline lock lever or knob on the underside of the seat first. Most synchronised recline mechanisms have a lever that must be engaged to lock. If the lever does not hold after engaging, or if the recline mechanism feels gritty or catches, that may be a genuine fault worth reporting.
